Payments made through this website are for scheduled services or agreed-upon fees with Kaecyn Behavioral Health Services. Completing a payment does not guarantee appointment availability and does not establish a provider–patient relationship until an official intake and consent process is completed. All payments are processed securely through a third-party provider (such as Cash App or PayPal). Kaecyn Behavioral Health Services does not store or have access to full credit card details.

1. APPOINTMENT CANCELLATION POLICY

We require a 24-hour notice for all appointment cancellations or rescheduling.

Cancellation Timeframes & Fees:

We understand that unexpected delays can happen to ensure we can provide you with the full quality care you deserve, a grace period of 5 minutes is allowed for late arrivals. Beyond 5 minutes, your appointment may need to be rescheduled and will be subject to our late cancellation fee.

  • 24+ hours notice: No fee charged
  • Less than 24 hours’ notice: $75 late cancellation fee
  • Same-day cancellations or No-Shows: Full session fee charged
    • Initial Appointment No-Show: $200
    • Follow-up No-Show: $100 (Standard) or $130 (Extended)
  • Outstanding fees will be collected at the time of the appointment
  • We reserve your appointment time exclusively

2. REFUND POLICY

General Refund Rules:

  • Payments for completed services are non-refundable
  • Payments for upcoming appointments are refundable only if canceled 24+ hours in advance
  • Membership fees are non-refundable once the billing cycle begins

No Refunds Issued For:

  • Missed appointments or same-day cancellations
  • Administrative fees
  • Forms, letters, or documentation once work has begun
  • Credit card processing fees (3.5%)
  • Any services already rendered
  • Wellness Membership Plans

Refund Requests:
If you believe a refund is warranted due to an error, contact us directly for review.


3. DISPUTES & CHARGEBACKS

Resolution Process:

  1. Contact us first with any billing concerns
  2. Allow 5 business days for investigation and resolution
  3. We will provide documentation of services rendered

If a chargeback is filed without attempting resolution:

  • We provide documentation verifying services
  • Enforcement of cancellation and no-show policies
  • Scheduling suspended until matter resolved
  • Fraudulent disputes reported to payment processor

4. RESCHEDULING POLICY

  • Rescheduling available without penalty with 24+ hours notice
  • We cannot guarantee same day/time availability
  • Multiple rescheduling requests may require appointment consolidation

5. PAYMENT TERMS

Accepted Methods:

  • Credit/Debit Cards (Visa, MasterCard, American Express, Discover)
  • Insurance Billing (individual services only)
  • Cash Pay (membership plans)

Fees:

  • 3.5% credit card processing fee on all card transactions
  • All prices subject to applicable taxes

Membership Specifics:

  • 6-month minimum commitment required
  • You may choose your preferred payment frequency (weekly, bi-weekly, monthly, or in full). However, all payment plans require:
  • Continuous payment throughout your 6-month commitment
  • No pauses, freezes, or holds permitted
  • No pro-rating for unused services
  • No refunds after payment
  • All payments are non-refundable once processed
  • Your chosen payment schedule will continue automatically until your 6-month commitment is complete.
  • Cash/Card pay only – no insurance billing for memberships
  • Cancellation requires a 7-day written notice before the 6-month term plan expires

6. FORMS & DOCUMENTATION

Fees:

  • $150 per form/letter

Processing:

  • 7-10 business day processing time
  • Established patients only (3+ completed visits)
  • At the clinician’s discretion

7. EXCEPTIONS

We understand emergencies happen. Exceptions considered case-by-case for:

  • Severe illness or hospitalization
  • Documented emergencies
  • Weather or natural disasters

Approval of exceptions at the practice’s discretion.
